JOB DESCRIPTION / OVERVIEW

Brooklyn Youth Chorus seeks a full time CHORUS MANAGER to aide in the administering of Brooklyn Youth Chorus’s Performing Ensembles. This position reports directly to the Ensemble Conductor and the School Administrator.

 

The Chorus Manager is responsible for, but not limited to tasks related to and in support of Brooklyn Youth Chorus in the following areas:  

  • Rehearsal Management

  • Chorister and Family Management

  • Program Administration

  • Production, Event, and Tour Support

 

REHEARSAL MANAGEMENT

  • Attending all assigned chorus rehearsals and monitoring choristers 30 minutes before, during, and 15 minutes after rehearsal

  • Creating and managing rehearsal and performance schedules in collaboration with artistic and administrative staff

  • Managing and communicating schedules for accompanists, guest artists and performers as well as the ensemble director

  • Taking and distributing rehearsal notes as requested by the conductor

  • Ensuring support materials are prepared for each rehearsal and available for use (i.e. musical instruments and various audio visual equipment)

  • Maintaining an orderly and well-stocked rehearsal room (i.e. prepares, distributes, maintains all scores and other educational materials, and arranges chairs, and has pencils ready for use)

  • Creating and maintaining rehearsal seating and voice charts in collaboration with the conductor

  • Maintaining attendance records, including database entries, and communicates attendance status with families and conductor regularly; enforces attendance policies

  • Providing coverage for other administrative staff when needed; a team player is a must

 

CHORISTER AND FAMILY MANAGEMENT

  • Monitor the general well being of choristers

  • Cultivating professional relationships with each chorister and their families

  • Communicating with choristers and families regarding attendance, behavioral, and other issues and opportunities as need

  • Scheduling and leading parent meetings for specific events and tours in collaboration with the conductor

  • Communicating with choristers and families regularly regarding information about upcoming rehearsals, performances, events, materials, and more

  • Maintains correspondance with choristers and families regarding questions, concerns, absences, etc.

 

PROGRAM ADMINISTRATION

  • Entering and maintaining scores in the music library and filemaker database (record new repertoire, update inventory and maintain performance tags)

  • Coordinating, scheduling, and tracking annual written and vocal assessments in collaboration with the conductor and other administrative staff

  • Managing “Members Area” of the Brooklyn Youth Chorus Website (i.e. posting relevant audio, video, rehearsal/performance schedules, and other support materials)

 

PRODUCTION, EVENT, and TOUR SUPPORT

  • Providing program information for all printed programs including rosters, repertoire, composers, and instrumentalists

  • Coordinating and communicating performance and rehearsal schedules internally as well as externally (ie with other staff, outside presenters, and guest artists)

  • Supporting Production Manager in coordinating musician hires and preparing scores and determining equipment needs

  • Determining and communicating transportation and food needs - survey choristers, collect and analyze data

  • Assisting with vendor bookings particularly for transportation, food and hospitality, accommodation, and costume/uniforms

  • Creating and overseeing of performance polls to track singer availability

  • Creating and managing performance polls to determine chorister availability, event rosters, voice charts, standing charts as well as stage plots

  • Securing petty cash as needed (i.e. for tips, tolls and supplies, and chorister-related items)

  • Ensuring that all choristers have complete, clean, and well fitting uniforms and tracking uniform distribution

  • Recruiting and coordinating parent chaperones as needed

  • Attending site visits as necessary to ensure appropriate holding space and facilities and to assist conductor with staging logistics

  • Working collaboratively with other administrative and artistic staff for events involving other divisions

 

QUALIFICATIONS

  • Bachelor’s Degree in music, music education, and/or arts administration

  • Knowledge of and ability to read music

  • Experience working with young people from diverse backgrounds

  • Must possess the ability to establish strong working relationships with others including Brooklyn Youth Chorus choristers, families, and colleagues

  • Must be able to work some nights and weekends

  • Knowledge of Microsoft Office Suite, Google Suite, Mailchimp, and/or FileMaker database preferred

  • This position may include an apprenticeship in Brooklyn Youth Chorus’s trademarked Cross-Choral Training Method

  • Candidates with an interest in choral music education and conducting are strongly preferred
